Officer – Administration – Construction Projects.
About The Role
Reporting directly to the
Superintendent – Construction Projects, the
Officer – Administration – Construction Projects plays a key role in supporting the daily administrative operations of the Capital and Projects department. This position is vital for ensuring accurate documentation, effective administration of construction activities, supporting project management processes and the smooth flow of communication between stakeholders, all while supporting NPL’s Capital and Projects activities.
In This Role, You Will
- Provide administrative support to the Capital and Projects team, including document preparation, filing, and record-keeping.
- Assist in the coordination of construction projects schedules, ensuring timely completion of all administrative requirements.
- Facilitate communications with internal teams and external stakeholders, including contractors, suppliers, and governmental bodies.
- Maintain up-to-date project documentation, including contracts, permits, and correspondence.
- Assist in budget tracking and financial reporting related to construction projects.
- Coordinate meetings, prepare agendas, and take minutes to ensure effective communication within the team.
- Performing routine office tasks such as answering calls, responding to inquiries, and arranging meetings as requested by the supervisor
- Ensuring compliance with NPL’s health, safety, and environmental policies by maintaining organized and accessible documentation
- Uphold high standards of health and safety awareness, ensuring compliance with NPL’s Occupational Health & Safety Policy and all safety procedures.
About You
To succeed in this role, the ideal candidate will possess the following qualifications and experiences:
- Minimum of Grade 12 education or equivalent
- Certificate in Business Administration or related field (preferred)
- At least 2 years of experience in an administrative role, ideally in a construction projects, mining, or industrial setting.
- Proficiency in MS Office applications (Word, Excel, Outlook)
- Strong organizational skills with high attention to detail and accuracy
- Excellent communication and interpersonal skills
- Ability to work independently, manage multiple tasks, and meet deadlines.
- Knowledge of maintenance processes and experience with maintenance management systems (SAP/Oracle) is desirable.
Mobilization Requirement
This is a PNG National Local Staff position, a site-based role on a Walk in Walk out arrangement with rotation of 10 days on and 4 days off. Must successfully pass a pre-employment medical including drug and alcohol screening. (This will be arranged only for successful candidates who progress after the interview stage) and have an up-to-date Police Clearance Certificate (acquired within the last 6 months). Must be a Local Porgeran (Cat 1A – SML, Cat 1B –LMP or Cat 2 – Other Porgera) candidate and available to start immediately. Females are encouraged to apply.
