We are seeking a highly organised and proactive Planning / PMO Specialist to develop and maintain a comprehensive master plan across all activities within the Policy, Process and Performance team (PPP). This role will ensure alignment across procurement procedures, policy compliance, sustainability reporting, and assurance processes, while also facilitating seamless collaboration between other Global Procurement teams as part of the broader portfolio and management practices.
In this role, you will act as a central point of coordination, supporting process improvement initiatives, managing key dates and reporting cycles, and assisting leadership with resource management and workload balancing. Your ability to organise, communicate, and drive efficiency will be essential to the success of procurement process transformation efforts.
Develop & Maintain a Comprehensive Master Plan
- Support the creation of a procurement procedural continuous improvement plan, aligned with a 3 year content improvement strategy.
- Track and manage policy expirations and auditable dates to ensure compliance.
- Maintain sustainability reporting timelines and key submission dates.
- Oversee 1st and 2nd Line of Defence (1LOD/2LOD) assurance timelines to support risk and compliance functions.
- Monitor all external and internal milestones relating to team activities.
Streamline Collaboration & Communication Across Global Procurement teams
- Participate in centralised portfolio management practices as the PPP Planning Lead to support information sharing and planning alignment.
- Facilitate information sharing and process improvement input across other procurement teams.
Provide Coordination & Support Across PPP Streams
- Assist with meeting coordination, including scheduling, agenda preparation, and documenting key decisions and actions.
- Provide logistical and administrative support for major initiatives, including
- Global Procurement Content Improvement Strategy.
- Sustainability Reporting.
- 2LOD/Risk & Assurance Coordination.
- Procurement Portal content translation.
- Medium- to Long-Term S4HANA Implementation.
Support Managers with Resource Management & Workload Balancing
- Assist leadership in workload distribution across teams to optimise efficiency.
- Identify and address capacity constraints, ensuring teams are resourced effectively.
- Provide administrative and analytical support to help managers prioritise key initiatives.
What You’ll Bring
To be successfully considered for this role, you will ideally have
- Excellent organisational skills with the ability to manage multiple timelines and deadlines.
- Strong experience in project coordination, PMO, and governance support.
- Strong communication and collaboration skills, with the ability to work across teams.
- Proficiency in project management methodologies, software and tools.
- Ability to synthesise complex information and provide clear updates to stakeholders.
- Knowledge of procurement policy, risk assurance, and/or sustainability reporting is a plus.
