Job Description
CONTEXT
The purpose of the Marketing BU is to sustainably maximise cash flows from the marketing of Anglo American products and services.
The Sales Operations team is responsible for delivering best in class service to customers in order to allow Marketing to capture best possible margins in the market. The team is fundamental in delivering the trading and sales operations ambitions across Marketing that requires manage trade-offs between different production, marketing systems and interfaces customers across various industries following different dynamics operating practices (multi-industry context). Sales Operations needs to scale and expand its services as required to support the development of new product and service offerings to the market.
PURPOSE
The purpose of the Sales Operations Manager is to design, implement and manage the Sales Operations and Contract services for the regional commodities, including contracts administration, invoicing, shipping and export document management, trade finance negotiations, systems management, performance reporting, governance and compliance, financial information support and customer liaison, customer liaison and team leadership.
KEY TASKS
Contracts Administration
- Manage and coordinate the preparation of Sales and Purchase Contracts including input and advice, with an emphasis on operational terms, payment terms and trade finance requirements into the contracts, including liaison with Legal, Finance, Tax, Sales, Technical, Shipping and Logistics to ensure all approvals are attained.
- Provide technical input to the Contracts Administrator regarding the administration and execution of sales / purchase contracts when relevant.
- Ensure contract administration segregation of duties between front office and mid/back-office support.
- Ensure the team can support the trading activities on risk mitigation in contracts drafting, including contracts negotiation when relevant.
- Ensure sales and purchase contracts reflect commercial agreements while complying with internal policies.
- Procure from the buyer documentary and loading instructions, to check against the sales position, letter of credit and purchase contract before releasing to suppliers.
- Avoid legal and financial consequences through application of solid knowledge of inherent timing and deadline requirements in the operation of all contracts.
- Provide advisory services to the sales and trading teams to ensure that the sales contracts are workable from an operational perspective. (Advisory Authority).
Sales Operations
- Manage the Sales Operations process for both Sales and Purchases such that ensuring contractual terms and obligations are being complied to, including Letter of Credit and other payment methods are managed according to risk policies and contractual agreements.
- Manage the Time to Cash process to maximize working capital
- Responsible for the payments related to services with Disport Agents, Freight Forwarders and Stockpile Service Providers.
- Manage the Service Level Agreement with AAML Shipping to ensure that all obligations under the contract are met and the service level is at a level required to support the ambitions and objectives of the relevant commodity marketing teams
- Relation with customs authorities and compliance with their requirements.
- Responsible for processing loading and documentary instructions from Customers, check in line with contract requirements and documentary letters of credit.
- Manage any discrepancies with customer and suppliers.
- Issue instructions to suppliers in strict compliance with time constraints and port requirements.
- Check final documentation for accuracy before passing to customer for payment or negotiating with LC bank.
- Utilise specialised knowledge of laytime calculation and maritime law to calculate and negotiate laytime settlements with suppliers and buyers and arrange timely payments.
Invoicing and Debt Collection – Cash Management
- Raise sales provisional and final invoices to customers in line with contract terms for Equity and Traded sales.
- Arrange payment of customers and suppliers’ invoices, checking accuracy against contracts and or services provided.
- Settle bank charges and fees.
- Monitor and manage customer’s credit positions and manage debtors.
Qualifications
Qualifications:
- Tertiary qualifications in Finance, Commerce, Shipping/Logistics Management or Law preferred
- More than 10 years combined experience in Sales Operations and Contract Management.
- Advanced university qualifications, preferably in business administration, commerce, or other relevant discipline (MBA, etc.) desired but not critical.
Specific Knowledge requirements:
Operations:
- Knowledge in commodities value chains
- Knowledge of third party contract processes and payments
- Understanding of marketing fundamentals (i.e.. pricing, delivery strategy, value chain dynamics, net back calculations)
- Knowledge of transactional or operational detailed product specifications, delivery terms, or documentation requirements
- Understanding of offtake arrangements, pre-export and pre-payment finance
- Sales operations experience within commodities industry with knowledge in sales contracts, contract performance management and contractual arrangements
- Customs regulations in Chile and Peru
Commercial
- Knowledge in global commodity markets and their drivers
- Contract management knowledge
- Understanding of sales and marketing policies and procedures
- Commercial/business drivers in discipline and business performance.
- Basic financial metrics, cost and value management & budgeting tools.
Technical Skills
Commercial Reasoning and Application - Understand every element of the marketing value chain, financial concepts and appropriate risk management, and applies this knowledge to achieve business success and growth. (Level Advanced)
Commodity Knowledge - Understand the production process, technical characteristics, market dynamics, commodity applications, our customers, their requirements and how we deliver value. (Level Advanced)
Customer Relationship Management - Understand and anticipate external customers’ needs and takes action to meet expectations and deliver value quality outcomes. (Level Advanced)
