We are looking for a site-based
Management Assistant to provide varied administrative support to a number of departments at NZAS.

Reporting to two departments managers, you will be
- Assisting with visitors to site including preparation of schedules, organizing PPE and equipment, and calendar organization
- Using SAP to place orders for equipment, clothing, and stationary and logging work orders
- Organising on-site and off-site meetings, preparing meeting documentation and taking minutes as well as organising venues, assisting with equipment set-up and catering orders
- Assisting with day-to-day general enquiries and providing ad hoc support
- Managing calendars for Senior Leadership
- Coordinating travel management for internal and external staff, visitors, and new starters
- Managing/updating email distribution lists
- Updating site safety documentation including current best practice and evacuation documentation
- Assisting with ensuring a smooth onboarding process for new starters including organizing PPE and supporting leaders with new starters
- Using Adobe, Adobe Pro and DocuSign for documentation on a regular basis
- Coordinating the monthly Safe Work building check with the selected representatives, as well as sending new rosters, email alerts and meeting requests
- Coordinating expense management
What You’ll Bring
- Strong administrative skills and experience with a strong customer service focus
- Experience using the Microsoft Office suite including Word and Excel, as well as Teams for communication
- Experience with software programs including Docusign and SAP or similar
- Experience with travel and expense management and use of systems relating to this
- Ability to manage your time and responsibilities and work under pressure if required
- Attention to detail as well as having a positive and helpful approach
- Experience updating intranets and using PowerBI would be advantageous (but not essential)
